The current market in New Zealand has led to a surge in job applications for advertised roles, with many employers receiving hundreds of CVs for a single vacancy. While a large applicant pool may seem like a positive, it also presents challenges in managing the recruitment process efficiently.
At Eclipse Recruitment, we’ve seen firsthand how overwhelming high application numbers can be. Recently, one of our consultants received over 700 applications for a role in just two weeks. Despite this, we ensured every CV was reviewed and every applicant received a response. Within three weeks, interviews were underway, and within six weeks, the successful candidate had signed a job offer.
If you’re about to embark on a recruitment campaign, here are five practical tips to help you navigate high application volumes effectively:
1. Set Aside Time Each Day
Managing applications daily prevents the list from becoming unmanageable. Dedicate 1-2 hours each day to review CVs and respond to applicants promptly. This not only demonstrates professionalism but also enhances your employer brand.
Consider setting up automated email templates for bulk responses, letting applicants know you’ve received their submission and outlining your response timeframe. Ideally, aim to respond within five working days.
2. Define Three Key Screening Criteria
Before reviewing applications, establish three clear screening criteria to streamline the process. These should be objective and easily identifiable in a CV, ensuring consistency—especially if multiple people are involved in screening.
Be mindful not to set overly narrow criteria that could exclude strong candidates. For example, if you prefer candidates with three years of experience, consider whether those with two years could still be a good fit.
3. Be Aware of Bias
Unconscious bias can influence hiring decisions. Stay focused on your pre-defined criteria and regularly check your decision-making to ensure factors like gender, age, or ethnicity are not influencing your selections.
When screening CVs, look for reasons to progress candidates rather than reasons to rule them out. A quick phone call can provide further insight into a candidate’s transferable skills, personality, and cultural fit.
4. Keep Your Job Ad Live
It may be tempting to close job applications early when faced with hundreds of CVs, but doing so could mean missing out on the ideal candidate. In our recent example, the successful hire applied toward the end of the second week.
Consistently reviewing applications throughout the ad’s duration ensures you don’t overlook high-potential candidates.
5. Partner with a Recruitment Agency
Managing high job application volumes while running a business can be overwhelming. Partnering with a recruitment agency allows you to focus on your core operations while professionals handle screening, shortlisting, and interview coordination.
